Dispatch and Asset Management - Part 1 - Map Overview

Hey, this is Derek with ScrapRight, I'm going to be showing you right now our asset and container tracking and dispatch functionality in ScrapRight. So this is going to be a multi-part series on that because it's kind of a lot to cover. I'll try to keep these as short as I can.

The dispatching and asset management, we really tried to make this as simple and easy to use as possible. So you're not going to see a ton of features like route optimization and live tracking and stuff like that. Our goal here with this is just to make it as simple and easy to use as possible.

So this is our asset map, I'll just do a quick overview of the screens and then I'll go into how you set this up in the first place. So this is our asset map. This is where your bins are going to be located, you'll be able to see the statuses of these.

Green is available, this is at your yard. The red ones are going to be bins that are allocated or assets that are allocated at your customer's addresses. And then yellow is going to be anything that has some sort of in-transit action on it, like a driver is on his way to pick something up or a driver is out to do a service call or something like that.

So that's what this asset map is, there's some other features that I'll go into more detail on in another video. The right hand side is basically all of your assets. I've got 40 of these set up, as you can see down here, 40 total.

11 of them are allocated and out in the field and then 29 of them are available. I've got none in transit at the moment. You can also click on these to see a little bit more detail, so you'll see a history of the bin, you'll see a map of where that one is, specifically the container number and those kind of things.

You'll see which drivers are assigned to it as well. And then from here you can actually export reports, so a PDF or a CSV based on the filters that you do. Up at the top, there's some filters as far as the statuses that you're going to use, the asset types and the drivers, trucks and dispatchers on each of these.

So real quick, there's also a dispatch board, let me load that, this is where you're going to see your drivers and then any of these unassigned cards, these dispatch cards. So if you wanted to, you can drag these over and assign them to different drivers and do a bunch of actions on them. There's a calendar as well, I'll skip over that for now, and I will take you guys over to the main setup screen for this.

So how you put in the types of containers that you have and how you put in your drivers and that kind of thing. So go into Admin and Configuration, click on that, and then go into the Dispatch tab down here toward the bottom. Let's load that.

At the top, I've got the asset types. Now you may have a ton of different asset types. I've just got four in here, 40-yarder, 30-yard, 20 and a front-end loader.

You could have van trailers and all kinds of different things in there. So to add one, you would click on Add Asset Type and you'd just put that in here as a new asset. I'll click Save and it was added.

So now when I create these in my asset map screen, I'll have that as a type that I can choose from. Let me open this back up here and show you this checkbox. This checkbox says Allow Multiple Assets per Dispatch.

Now that's not going to be for every single type. Like for example, with a 40-yard bin, roll-off bin, you're not going to be delivering multiple 40-yard bins on a single vehicle or a single truck. So it's basically a one bin per trip type of thing.

But there are some smaller ones, whether it's a 4x4 container or something like that, that you want to bring multiple of those 4x4s to a location, you can do that. And if you want to do that, you're going to click on that checkbox here. So let me cancel that.

I'm going to delete this one for now. And then show you down here at the bottom. Now drivers, you can set up all of your drivers in the system here.

You can also assign users as drivers if they do more than just driving. But if they're just drivers, this is where you'll do it. Let me click on that.

So I've got Bob here as one of my drivers and I can upload a profile pic. I can give him first name, last name, username, and then give him a password. He's going to be using this username and password to log in to see the jobs that you've assigned him ultimately.

Anyway, this is where you're going to set up your drivers. So I think we'll go over a little bit more detail in another video as well there too. So let's go back over to that dispatching screen.

And I'll show you real quick how to create bins. So I've already got 40 in there, but let me add a couple more here. So let's click on create a new asset.

I'm going to add another 40 yard container, so I'm going to call it 40-011, so 40-11. And I'm going to select the asset type, so 40 yards. It does ask you to put in a tearaway, you can do that, you can put a note if you'd like to as well.

I like to set these off at the beginning as available. And then I'll go ahead and save that. All right, so that's going to add that to my list here.

You'll notice down at the bottom, I've got 41 total now. If I want to put an image in there, I can just by clicking on it and save it. All right, so the image is optional, but if you wanted to take pictures of these bins, you can.

So if there's some sort of damage on it or some sort of indistinguishable marks on it, you can add that on there. Or if you just want to get a picture of all your bins, it's just a good habit to have done. All right, so you'll notice it also does add it here in the map, and it is available.

So let's clear that out and reload it. All right, so that's how you add bins. Let me add another one.

Let me just click Create an Asset, and I'll add another one. Let's add a 30 yarder this time. So I'll click 30 yard, put a weight, save and close.

So you'll just do that with all your bins. Hopefully, you number all of your bins. If not, then one way to do that is just to give it a sequential number, and then it'll just keep track of how many of each type are available.

So there is a way to do that without numbering these. The vast majority of the yards that we deal with do number these though. So the next thing in the screen, let's click on one of the ones that have already been done.

So let's look at this one. This one has been allocated already. So you'll see that it's to this particular company in Greencastle on Antrim Way.

So you'll see that it is at that person or that business's address. You'll see that there will be a history here for that bin, so you'll be able to go back and see where this thing's been. That could be helpful for you.

If you want to create one and you know where it is, let's do that real quick with one of the ones I just created. So this 40 yarder. Say I know where this is, I'll just click on this magnifying glass here to search for a business.

I have a few set up here with that. And let's just say I'm bringing this one to Keystone Fireworks. It gives me a little preview of where that is on the map.

If you have them as customers already in the system, you can just look them up. Or you can create a customer and then look them up. Let me just save and close that.

You'll see that that did get added on there. Now it went from 11 allocated to 12 allocated. So now I've got 12 dots on the map that are in red and the rest are here available still.

So again, a lot of our yards will just operate out of the screen just to keep track and really keep it basic. Let's say somebody came and wanted to pick this one up and they called in and said, all right, Pepsi Cola decides they want to, or your driver went out and picked that up. You could go in here and find that bin here, look it up in here, just start to type Pepsi in the map, click on the one that I want, and then I can say that I've actually brought that back and it's available.

So I can do that. And then you'll see that I go from 12 allocated down to 11. So again, that is one way that people use this.

The next video is going to go a little bit more in depth and integrate that dispatch board into this. So let's take a look at that next. Thanks.
