Compliance And Organization

# ScrapRight Training Guide
**ScrapRight 102: Compliance and Organization Settings**

This guide covers the initial setup of **Compliance Rules** and **Organization Settings** in ScrapRight. These are critical foundational steps to complete **before** adding users, materials, customers, or processing any tickets. Proper setup ensures 100% compliance with state regulations (e.g., Pennsylvania in this example), prevents payout errors, and streamlines daily operations.

**Why Set This Up First?**
- Compliance rules enforce legal requirements during ticketing (e.g., photos, signatures, ID checks).
- Organization settings control ticket numbering, payment defaults, rounding, check printing, and more.
- Incorrect setup can lead to non-compliant tickets, audit issues, or operational headaches.

## Accessing the Settings

1. Log in to ScrapRight and go to the **Dashboard**.
2. Hover over the **Admin** tab.
3. Select **Configuration** (this opens the Compliance and Organization settings area).

## Section 1: Compliance Rules Setup

Compliance rules vary significantly by state. Research your state's scrap metal laws (e.g., via state statutes, sheriff's office, or recycling associations). For Pennsylvania (as shown in the video):

- Sellers must be at least 18 years old (exceptions may apply for aluminum cans in some cases).
- Require photo ID (driver's license/state ID).
- Record vehicle plate/license number.
- Capture photos of seller and material.
- Require signature.

### Step-by-Step: Setting Compliance Rules

1. In the **Compliance Rules** section:
   - Check boxes for required items (example for PA setup):
     - Require picture of the material being purchased.
     - Require picture of the person selling the material.
     - Automatically capture image during payment (fires the customer-facing camera on the pay screen).
     - Require state driver's license/ID.
     - Require signature.
     - Require vehicle plate (license plate number).
   - **Exclude all compliance rules for business customers** (check this if businesses are exempt from peddler-level rules).
   - Set **Minimum Age**: Typically 18 (PA standard; no age restriction for aluminum cans in many cases).
   - Require ID to be current/valid.
   - Other PA-relevant options (if applicable):
     - Require date of birth entry.
     - Specific rules for catalytic converters (e.g., only allow business purchases if required by your state).
     - 100-point check (newer feature — consult ScrapRight support for details).

2. Click **Save** at the bottom.

**Notes**:
- These rules enforce during ticket creation — the system blocks payout if requirements aren't met.
- For states with thumbprint requirements, enable that checkbox.
- Catalytic converter rules, auto-regrades, etc., have separate videos/guides.

## Section 2: Organization Settings

This section configures your business identity, ticket behavior, payment preferences, and hardware integrations.

### Key Settings to Configure

1. **Business/Registration Info**:
   - Enter your scrap dealer registration/certification numbers (required for tickets/reports).

2. **Ticket Numbering**:
   - Set starting ticket number (e.g., 1000).
   - Optional: Add a prefix (e.g., "PA-").

3. **Hardware & Display Options**:
   - If using an iPad or customer-facing kiosk for signatures: Check **CFK (Customer Facing Kiosk)**.
   - Show Weigh-master certificate on interactive tickets/customer displays (if certified).

4. **Vehicle & VIN Flexibility**:
   - Allow adding VIN after payment (useful for busy times — pay first, enter VIN later if title in hand).

5. **Blank/Invalid Customer Handling**:
   - Decide behavior for blank business/customer records (e.g., blow out/hide invalid entries).

6. **Payment Preferences** (under Pay Preferences):
   - Default payment type: Cash (or check, etc.).
   - Default AP terms: Net 30 (for business accounts).
   - Require check payment after a threshold (e.g., over $100).
     - Exclude businesses from required check payment (let them choose cash/check at window).
   - Rounding: Standard (over $0.50 up, under down) — apply only to cash transactions.

7. **Check Printing**:
   - Select check type (pre-configured or blank stock).
   - Enter bank name (e.g., "ScrapRight School").
   - Start check numbering (e.g., 1000).

8. **Other Common Settings**:
   - Do NOT require make/model if compliance doesn't mandate it.
   - Ticket search criteria: Optional (e.g., by address — most skip due to privacy).
   - Skip time clock, ticket fees, catalytic converters, IoT for now (separate videos).

9. Scroll to the bottom and click **Save**.

## Additional Features (Mentioned but Not Configured Here)

- **Materials Import**: If migrating from another system, request a materials template from ScrapRight support for bulk import.
- **Business Customers Import**: Request business customer template.
- **Customer Portal**: For website integration (customers view tickets/history/pricing) — contact support to set up.
- **Email Settings**, ATM integrations, etc.: Configure as needed in later steps.

## Best Practices & Tips

- **Research State Laws First**: PA requires photos of seller/material/vehicle, ID, signature, 18+ age (cans often exempt). Rules differ in SC, TX, etc.
- **Test After Setup**: Create a test ticket to verify compliance prompts fire correctly.
- **Call Support if Unsure**: Before checking unknown boxes — better safe than non-compliant.
- **Save Frequently**: Especially after scrolling through long lists.

Once complete, you're ready for ScrapRight 103 (adding users, materials, etc.).
